How to Insert the Disclaimer into your Outlook Signature

Your signature should appear in each and every email you send, reply to, or forward.

Outlook 2010

  1. Once Outlook is open, from the File menu, select Options
  2. In the Mail pane, click the Signatures… button
  3. If you already have a signature, select it from the list. Otherwise: < br/> a.Click the New button to create a new signature,< br/> b.Enter a name for the signature and click the OK button< br/>
  4. Enter all of the information you would like to include in the signature, including the full email disclaimer language at the top of this page
  5. At the top right of the window, select your signature in the dropdown lists labeled New messages and Replies/forwards
  6. Click the OK button, then the OK button again to finish

Outlook 2007

  1. Once Outlook is open, from the Tools menu, select Options
  2. In the Mail Format tab, click the Signatures… button
  3. If you already have a signature, select it from the list. Otherwise: < br/> a.Click the New… button to create a new signature,< br/> b.Enter a name for the signature and click the OK button
  4. Enter all of the information you would like to include in the signature, including the full email disclaimer language at the top of this page.
  5. At the top right of the window, select your signature in the dropdown lists labeled New messages and Replies/forwards
  6. Click the OK button, then the OK button again to finish

Outlook 2003

  1. Once Outlook is open, from the Tools menu, select Options
  2. In the Mail Format tab, click the Signatures… button
  3. If you already have a signature, select it from the list and click the Edit… button.  Otherwise:
    a.Click the New… button to create a new signature,
    b.Enter a name for the signature
    c.Ensure the option Start with a blank signature is selected
    d.Click the Next > button
  4. Enter all of the information you would like to include in the signature, including the full email disclaimer language at the top of this page
  5. Click the Finish then OK buttons
  6. Just above the Signatures button, select your signature in the dropdown lists labeled Signature for new messages and Signature for replies and forwards
  7. Click the OK button to finish
